Data storage and security

In this section you will find services and tips for saving and organising data during the research project (“hot data”).

File service

For internal university projects, the university's file service, which is provided by UNIT on the university's own servers, can be used to store data during the project period. University employees have 10 GB available as standard. Virus protection and regular backups are part of the standard service.

Cloud storage

The University of Mannheim has also licensed Microsoft 365 for employees and students. Microsoft 365 also includes access to OneDrive cloud storage with 1 TB of storage space for storing, sharing and collaborating on files.

OneDrive also offers the option of version tracking and file backups. You can also share data with project participants outside the university via Microsoft 365.

Storage service

Finally, the bwSync&Share storage service is provided via the state-wide infrastructure. The service is operated by KIT. You can log in there directly with your Uni-ID.

By default, you have 50 GB at your disposal, but storage can be extended to 100 GB on request. Data and directories can also be shared with project participants from outside the university and outside the country.

The UNIT team will advise you on further options in terms of storage and computing capacity for your research project.

IT security measures – regardless of the storage medium

  • You should encrypt confidential data to protect it from unauthorised access. You can find more information on suitable encryption methods and programmes on the UNIT encryption website.
  • The memory should have an automatic backup.
  • Access authorisations should be limited to the necessary minimum
  • The virus protection on all end devices should always be up to date.
  • There should be a deletion concept for personal data in particular.
